Promendation Inc. ("we", "us") operates this website and app from Ontario, Canada. We respect your privacy and only collect what we need to run the service.

Partner companies

Companies and organizations may subscribe to Promendation to discover talent on the platform. They can only see Promend Cards that you have chosen to make public using the "Go Public" option on your card. Private cards, your contact details, private messages and private profile fields are never shared with partners.

You can switch any Promend Card back to private at any time, which removes it from partner discovery.

Service providers

We use trusted providers (e.g. Supabase for hosting and Stripe for any platform purchases) who process data on our behalf under their own privacy and security standards.

Privacy Officer & Accountability

Promendation Inc. is accountable for the personal information under its control. We have designated a Privacy Officer who is responsible for our compliance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA).

If you have any questions, concerns, or complaints about how we handle your personal information, or if you wish to exercise any of your privacy rights, you may contact our Privacy Officer using the details above. We will respond to all privacy requests within 30 days of receipt.

If you are not satisfied with our response, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.

Your Privacy Rights

As a user of Promendation, you have the following rights with respect to your personal information. To exercise any of these rights, please contact us at privacy@promendation.com. We will respond within 30 days and may ask you to verify your identity before fulfilling your request.

Right of Access

You have the right to request access to the personal information we hold about you. This includes your Promend Card data, My Posts, referral pipeline history, messages, and any other information associated with your account. We will provide this information in a clear, readable format at no charge.

Right to Correction

If you believe that any personal information we hold about you is inaccurate, incomplete, or out of date, you have the right to request that we correct it. You may also update most of your information directly through your account settings at any time.

Right to Withdraw Consent

Where our processing of your personal information is based on your consent, you have the right to withdraw that consent at any time. Withdrawal of consent will not affect the lawfulness of any processing we carried out before you withdrew consent. Please note that withdrawing consent may limit or prevent your ability to use certain features of the platform.

Right to Account Deletion

You have the right to request the deletion of your account and associated personal information. To submit a deletion request, email privacy@promendation.com with the subject line "Account Deletion Request." We will process your request within 30 days and confirm once deletion is complete, subject to any legal retention obligations described below.

Right to File a Complaint

If you believe your privacy rights have been violated, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada (OPC) at www.priv.gc.ca or by calling 1-800-282-1376.

We will never sell your personal information to third parties.

Data Breach Notification

Promendation takes the security of your personal information seriously. We implement appropriate technical and organizational safeguards — including row-level security, encrypted data storage, rate limiting, and an append-only audit log — to protect your information against unauthorized access, disclosure, alteration, or destruction.

What Constitutes a Breach

A data breach occurs when personal information in our control is lost, stolen, accessed, used, disclosed, copied, modified, or disposed of without authorization.

How to Report a Security Concern

If you believe you have discovered a security vulnerability or that your account has been compromised, please contact us immediately at privacy@promendation.com with the subject line "Security Concern." We will acknowledge all security reports within 24 hours.

Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, to provide you with our services, and to comply with applicable legal obligations.

Active Accounts

While your account is active, we retain all personal information associated with your account — including your Promend Card, My Posts, referral pipeline history, and messages — for as long as your account remains open.

Deleted or Deactivated Accounts

When you delete your account, we will permanently delete your personal profile information within 30 days of receiving your deletion request.

Messages

Messages exchanged through Promendation's inbox are retained for the duration of your active account. Upon account deletion, messages will be deleted within 30 days, except where retention is required by law.

Requesting Early Deletion

You may request early deletion of your personal information at any time by contacting privacy@promendation.com. We will fulfill your request within 30 days, subject to the legal retention obligations listed above.

Third-Party Services

Promendation uses the following third-party services that may process your personal information on our behalf. By using Promendation, you acknowledge that your data may be processed by these services, which may store data outside of Canada.

We do not sell, rent, or share your personal information with any third party for marketing or advertising purposes.

Where we operate

Promendation is currently available to members in Ontario, Canada. We follow Canadian privacy law (PIPEDA) and Ontario regulations that apply to our service.
